When have you ever found the perfect solution to a problem or challenge you are facing? If I’m honest it’s hardly ever! We find or cobble together ways of responding to life’s hurdles that enable us to move forward, accepting of the fact that not everything is resolved. We accept that we shouldn’t let ‘the perfect be the enemy of the good’. And the worse the problem, the lower we go, the more despairing we are – the more we are likely to agree to an imperfect solution. 

But ‘hardly ever’ is not ‘never’ and I have had one outstanding example of the perfect: Jeremy at Top End Editing.   

At the end of my PhD journey, which included all the typical struggles; financial troubles, family crises, COVID and communication breakdowns, I was feeling desolate at the prospect of editing my thesis. It was a complicated document including standard chapters and published papers tied together with linking sections that made it potentially awkward. In addition, I knew there were lots of typos, poorly constructed phrases and bibliographic errors. I also knew that I did not have the skill or the patience to fix them. I just wanted it over. I was so over it I came very close to just tossing the whole thing and moving on to something else. 

And then a friend told me about Top End Editing and what can I say? Writing about misfortune and misery is easy (see above) writing about feelings of relief, release, gratitude and even exhilaration is hard. So, I’m not certain what to say. But it should include something about perfection and brilliant service. 

Jeremy at Top End Editing provides something that is ‘next level’. He ripped through my thesis and gave it a polish that I could never have achieved. He timed his work to fit with mine; I’d send him a draft in the late afternoon and he’d reply with the edits the following morning. I was gobsmacked by how good he was. The support I felt was indescribable and I remain humbled with gratitude.  

Top End Editing is my singular experience of a perfect solution.  That I should have found it when I needed it the most was just luck. I hope that by sharing this story others can benefit from Jeremy’s amazing capacities before they get too deep into the mire!

For those that do need help [with preparing a thesis], particularly for grammar and punctuation, or layout and references, please be aware that there is help available. Many universities allow students to get help from an editor in proofreading and formatting their theses. If you are unsure, check your university's policies.

When looking for an editor, make sure they have worked on other theses[/exegesis], and/or … papers [within your field]. Be sure to contact them as early in the process as possible, so both of you can be sure of the process, and fit in with each other's deadlines.

If you are doing a thesis by publication, publishing as part of your research, or have to produce and use a questionnaire, it is best to contract an editor before you submit/use the individual papers/documents. Once the thesis is compiled for submission to the examiners, any part thereof that has been published must be included as is, including any errors it may contain.

In regards to formatting, many universities have transitioned to requiring electronic submissions, so print margins are no longer needed. However, if you anticipate printing and binding your thesis after it has been examined and finalised, make certain you discuss this with your editor prior to submission. Many universities cut off student access to their allotted funds upon submission, so any later services that are required need to be arranged and invoiced-for beforehand.

Lastly, regarding references, if you have a '.edu' email, you should have access to Endnote through your institution. Endnote is the best of the referencing software, as it is readily adaptable to all university/journal requirements. If your editor is freelance, they may not have Endnote, so it is best to check beforehand - through if they are academia focused, they may have bought it outright. However, if not, of the alternatives, Mendeley is suitable, though may have issues with large documents.

This guide is specific to Charles Darwin University (CDU) - Check the requirements for your institution.

When using papers you have submitted for publication as chapters of your thesis, ensure you have:

  • included a ‘Statement of Authorship’ or ‘Authorship attribution statement’ at the start of your thesis (prior to your Introduction), that includes the publication details and your contribution to the paper, ie. Chapter 3: [Reference] (Submitted and under review) I designed the study, collected the data, and wrote the draft of the paper. Chapter 5: [Reference] I designed the study, collected the data, co-analysed the data with the co-authors, and wrote the draft.

  • linked the chapters together in your introduction, so that their contextual progression is clear to the reader;

  • combined the references with those of the thesis (check with your supervisor as some prefer the references to remain with the paper).

While published papers are not required to match the formatting of the thesis, the presentation and readability of the thesis will be improved by consistent formatting.
